[00:00:00.429] In this video, we're going to cover how to use [00:00:02.740] the new Learn stage system [00:00:05.009] with a library manager. [00:00:06.809] You can keep in mind that we do also have a written [00:00:09.079] guide for this available for you to refer [00:00:11.179] to as you learn the system. [00:00:13.868] Let's start with loggin it. [00:00:16.138] The login will go to Ladman [00:00:18.538] dot learn stage dot slash [00:00:20.818] login [00:00:22.260] lyn. It will ask you to enter an account ID. [00:00:25.469] You can enter Excel at [00:00:32.000] then click proceed, [00:00:36.109] then it will ask you to enter a user name [00:00:38.368] and password. [00:00:44.509] Then click log in. [00:00:46.700] You will most likely be asked to enter [00:00:48.810] an M FA code, which is our two [00:00:50.918] factor authentication. [00:00:54.189] The code should appear in your email inbox [00:00:56.348] within a few seconds and you can enter it. [00:01:07.980] Then you'll be taken to the dashboard where you [00:01:10.028] can see a main menu to the left. [00:01:12.519] Click on library management. [00:01:17.739] This is where you can search for your school, [00:01:20.349] make sure that the district and school [00:01:22.448] are selected and then type in your [00:01:24.620] library name [00:01:30.588] and then click enter [00:01:34.319] to find your library. You can click go [00:01:36.439] to open it. [00:01:41.198] So now we're on the library detail page. [00:01:43.549] This is where you can manage enrollments through [00:01:45.709] all of the phases of the enrollment process. [00:01:48.480] So we have the applications area [00:01:50.689] where the applications come in the prerequisites [00:01:52.948] area where students who are enrolled [00:01:55.269] in the prerequisite course are held, [00:01:57.469] then it moves into scholars [00:01:59.430] who are eligible for scholarships [00:02:01.439] are held. And then once they are officially approved [00:02:03.799] for a scholarship, they move into enrollments. [00:02:08.250] So at the top here we have the applications [00:02:10.258] area. There are three categories below [00:02:12.558] applications. [00:02:14.000] We have application decisions, [00:02:16.409] attention needed and denied applications. [00:02:19.909] Let's take a look at one of these categories to [00:02:23.069] get an idea of what that looks like. [00:02:27.008] Clicking on one of the categories will take you to [00:02:29.278] an enrollment page. So any enrollment [00:02:31.679] that comes in is called [00:02:33.710] or any application that comes in [00:02:35.879] is called an enrollment even if they [00:02:38.000] aren't fully enrolled with a scholarship, [00:02:40.258] that's just how they're referred. [00:02:42.110] Um So as they go through the process that you [00:02:44.399] will be taken to an enrollment page, [00:02:46.778] and you can see at the top here that enrollments [00:02:48.949] are filtered [00:02:51.129] to show the students that we are looking [00:02:53.199] for. So the most common filter [00:02:55.258] qualifier is the enrollment status [00:02:58.500] uh and that will change based on what we're looking [00:03:00.508] for. Occasionally, it will also use [00:03:02.649] action required. [00:03:05.069] So let's take a look at the other [00:03:07.629] statuses. [00:03:08.949] So when attention needed, [00:03:10.889] the [00:03:12.050] enrollment status is still application, [00:03:14.490] but the action required is marked as [00:03:19.129] or denied applications [00:03:22.028] the enrollment status is canceled. [00:03:27.969] So let's take a look at our students that are [00:03:30.028] in application decision. [00:03:33.819] When looking at the students, you can see there are a lot [00:03:35.929] of columns of information [00:03:38.020] and it can, you, you'll need to scroll. [00:03:40.669] If you don't want to scroll and you want to reduce some [00:03:42.740] of these columns, you can go to the top right [00:03:44.969] and click being customize your view button [00:03:47.710] and [00:03:48.770] remove any of those that you [00:03:50.919] don't want to look at. [00:03:53.868] That will shorten your view [00:03:56.649] to open one of the enrollments. [00:03:58.788] You can click go [00:04:00.569] and that will take you to the enrollment details [00:04:02.860] page. But that will show the specific [00:04:04.879] information for the student [00:04:06.819] at the top. We have the really basic information [00:04:09.569] and then the rest of the information is sorted [00:04:11.868] in filters [00:04:13.379] in the application process or [00:04:15.699] in this phase of the process. [00:04:17.569] Uh the tabs that will be most useful [00:04:19.678] is the student details and then [00:04:21.709] the program details tab [00:04:23.389] that's where you can find the application question [00:04:25.910] answers. So the student submitted, [00:04:27.778] this is our test account. So there aren't actually [00:04:30.108] real questions entered, but your library [00:04:32.540] can set up the questions [00:04:34.689] that you would like [00:04:36.699] when you do the setup process. [00:04:38.738] So you can see their answers here. And then [00:04:40.798] you can also take a look at the enrollment history [00:04:43.079] area, [00:04:44.160] the enrollment logs [00:04:46.298] area, it takes a little bit to load, [00:04:48.338] but it will show all of the actions taken on the account. [00:04:50.778] So you can see when the student enrolled [00:04:53.428] if the system has made [00:04:55.459] any updates and then if any admin [00:04:57.709] have looked it on the account, [00:05:01.309] so to approve or deny a student, [00:05:03.819] you'll want to change the status [00:05:05.809] and the status is in this upper right hand corner. [00:05:07.980] Right now, it's set to application. [00:05:10.019] We can click on it to change it, [00:05:12.269] to approve a student. [00:05:13.988] We'll change it to prerequisite That's [00:05:16.338] going to move them into the pre [00:05:17.939] prerequisite category and [00:05:20.298] automatically load the life skills [00:05:22.540] course for them to take. [00:05:24.988] If you would like to cancel or [00:05:27.019] deny a student, then you would click [00:05:29.269] canceled [00:05:30.298] and that would move them into the applications [00:05:32.338] denied category that we looked [00:05:34.449] at previously. [00:05:35.608] So let's move the student into prerequisite [00:05:38.519] so that we can [00:05:40.428] give them the prerequisite course. [00:05:42.920] All right, let's watch [00:05:44.629] and view the student in the [00:05:46.709] prerequisite in progress category. [00:05:50.000] So now we have our student, Dana demo. [00:05:52.488] She's in the prerequisite category. [00:05:54.988] And if we click to open her accounts, [00:05:58.588] we can take a look at her courses, [00:06:01.088] like looking the courses tab, [00:06:03.500] this is going to show that she has the life [00:06:05.600] skills course loaded [00:06:07.139] and you can view inside [00:06:09.459] of progress [00:06:10.709] um module progress in [00:06:12.759] the grade that comes in here if you would like [00:06:14.829] to. But the nice part about this prerequisite [00:06:17.488] phase is that the system does the work [00:06:20.009] for you. So when the student has moved [00:06:22.290] in prerequisite the system automatically [00:06:24.569] loads the course and it also [00:06:26.699] automatically sets the expiration [00:06:28.769] date. It gives them those 14 [00:06:31.119] days to complete [00:06:32.819] the course. [00:06:34.139] And then [00:06:35.329] when the student completes the course, it will [00:06:37.738] mark the course as either passed or [00:06:39.819] failed, [00:06:40.798] uh and then change the enrollment [00:06:42.858] status [00:06:44.879] so we can go up to the top here. So we [00:06:47.069] wouldn't need to do this. The system would do it for us. [00:06:49.699] But once the student has passed, [00:06:51.869] we would move the student into [00:06:53.699] the status [00:06:54.619] is completed and that moves [00:06:56.660] them into the, [00:06:58.809] uh, waiting to assign seats area. [00:07:01.059] We'll look at that next. If they [00:07:03.079] don't pass the course or if [00:07:05.220] they don't take the course in time, [00:07:07.798] it will indicate that they are ineligible [00:07:10.319] to [00:07:11.278] move forward in the program. [00:07:13.858] So let's go back again. [00:07:16.369] Take a look [00:07:18.100] here in failed. We can see [00:07:20.119] that it's going to filter out any [00:07:22.410] of the ineligible students. [00:07:25.869] All right. So lets [00:07:28.730] move this over as if we were the system [00:07:33.269] to [00:07:34.689] complete it. [00:07:37.319] So that's gonna show that Dina [00:07:39.319] has completed the course [00:07:41.269] and passed. [00:07:42.869] And if we refresh this, [00:07:45.059] we can see that she's now [00:07:47.309] in these scholarships area, that [00:07:49.649] means she has passed the prerequisite and is eligible [00:07:52.028] to be considered for a scholarship. [00:07:54.009] So any students [00:07:55.178] in that situation are held in waiting [00:07:57.730] to assign seats area. [00:08:01.290] So again, you can open up the enrollments, [00:08:03.949] you can see that the enrollment status is completed [00:08:06.649] and then you can view the account again, [00:08:09.449] not a lot will have cha changed [00:08:11.470] in this at this point. [00:08:13.480] Um But you can always go back and view [00:08:15.588] that course and what the grade [00:08:17.670] is in any [00:08:19.838] details that you would want to look at. [00:08:22.189] So once you've decided that you would like the student [00:08:24.379] to receive a scholarship, you can go to the top, [00:08:26.649] right. And all you need to do [00:08:28.798] is change the status to in a role [00:08:31.160] and that will move them into [00:08:34.450] the [00:08:36.340] enrollments category. [00:08:38.590] When they are moved into the enrollments category, [00:08:40.989] their set of six courses will [00:08:43.000] be automatically loaded to their account [00:08:45.219] as well. [00:08:47.529] When at this point, the student is fully enrolled [00:08:49.899] and using a scholarship [00:08:52.690] to track the amount of scholarships [00:08:54.918] you're using and how many seats are still [00:08:57.038] available. You can use the scholarship reports [00:08:59.389] which is under scholarships area. [00:09:02.219] When you click on it, it's going to show you [00:09:04.440] a report of how many [00:09:06.820] seats are available in the library [00:09:09.719] and how many there are total. [00:09:12.509] You can also see a debit [00:09:14.629] that indicates any time a seat has [00:09:16.739] been added and then credit [00:09:18.940] indicates any time a seat has been [00:09:21.190] used. [00:09:26.298] So to take a look at your active enrolled students [00:09:28.928] and see how they're doing, [00:09:30.779] you can click on active enrollments [00:09:33.190] that's going to show you any student who is [00:09:35.379] enrolled [00:09:36.599] and you [00:09:38.000] can click go to take a look at their account [00:09:41.529] and you can track their course progress. [00:09:44.830] Uh This hasn't [00:09:46.219] student hasn't completed any work yet, but the [00:09:48.330] progress would appear here [00:09:50.269] and you could see how they're doing if there [00:09:52.418] were transfer credits, it would also show up [00:09:54.460] on this list and they would be specifically [00:09:56.788] marked as transfer credits. [00:09:59.070] And you can also take a look at their notes area. [00:10:02.599] This is where you can see if the transcripts [00:10:05.000] loaded if an audit has been completed, [00:10:07.820] if a student is called in and asked questions. [00:10:10.590] So the Excel high school team [00:10:12.769] will use this as they process [00:10:15.428] documents. The account manager will use this [00:10:17.869] and then you can see what's going on [00:10:20.029] over there. The note section does [00:10:22.210] use [00:10:23.229] a filter option as well. It's a little [00:10:25.408] bit different, but each note has [00:10:27.500] a certain type that [00:10:29.769] our team uses. [00:10:31.349] So if you click admin, [00:10:33.389] it will show only the content [00:10:35.690] that is under admin or admission [00:10:38.070] will show only admission. [00:10:39.769] Generally it's pretty easy just to view all [00:10:41.928] of them and scroll through [00:10:44.239] them to see them in chronological order. [00:10:50.009] If you wanted to check their deadline, you could [00:10:52.109] go to the enrollment details. [00:10:55.298] Yeah, and see their expiration date is listed [00:10:57.629] here that's automatically [00:11:00.190] set by the system and it gives them two years [00:11:02.548] to complete the entire program and [00:11:04.590] graduate. [00:11:06.469] And then if you wanted to take [00:11:08.570] a look at their login history and see how many times [00:11:10.779] they're logging in, [00:11:11.840] you go to the login history tab [00:11:14.058] that will show every time they log into [00:11:16.369] their account [00:11:17.928] and then you could always review enrollment history [00:11:20.629] like we talked about before. [00:11:23.000] Uh you can see more of those actions that [00:11:25.080] are taken on the account such [00:11:27.279] as adding courses, [00:11:29.288] recording courses [00:11:32.590] and so on. [00:11:35.840] So lastly, let's take a look at how to [00:11:38.109] log in as a student and [00:11:40.590] view their course progress. [00:11:42.798] While actually inside of their [00:11:45.219] canvas account, [00:11:48.359] we wanna go over to the student details tab. [00:11:51.029] And on this student info [00:11:53.129] card, you can see the login as [00:11:55.349] button when you click [00:11:57.399] on it, that's going to open up a student [00:11:59.859] view. So it indicates you're [00:12:02.009] logged in as a student to view their courses, [00:12:05.599] you would click course details [00:12:08.668] and then that's going to open up more information [00:12:11.668] and it has some tabs including the courses [00:12:13.979] to, you can see the courses [00:12:16.009] here as well. They look similar to [00:12:18.788] how you see it on the admin side with slightly [00:12:20.830] different layout [00:12:22.139] and then to the right, you can click [00:12:24.320] go to course to open up [00:12:26.379] their canvas account [00:12:29.750] on their canvas. Count one of the most useful [00:12:31.820] areas to look at is the view grades [00:12:33.908] area. That's to the right. [00:12:36.750] That's where you can see all of their courses [00:12:38.859] listed and the grades they've [00:12:41.969] to see their progress, you can click on one of [00:12:44.019] the courses [00:12:45.269] and that's going to show all of the assignments [00:12:47.629] in that course. So this is a really good measure [00:12:50.038] of how far they are through the course, [00:12:52.250] uh, because [00:12:53.479] they have to complete those assignments in order to [00:12:55.558] complete the course. [00:12:57.729] You see all of them, anything that [00:12:59.769] has a grade will have a number, anything that doesn't, [00:13:01.989] will have a dash [00:13:04.190] and you can view the overall grade over here [00:13:06.489] to the top. Right. [00:13:08.058] If you'd like to see the details of [00:13:10.168] the course, you can click modules [00:13:12.349] and that's where you can go to the actual course. [00:13:15.009] But remember we are in the student view. [00:13:17.119] So you're seeing it exactly [00:13:19.379] how they see it [00:13:20.489] and you can see the content of the course. [00:13:22.889] A checkmark indicates that the studio [00:13:25.330] has opened [00:13:26.609] that module section [00:13:28.570] and viewed it. [00:13:29.918] So this is another way you can see [00:13:32.158] a student's activity. [00:13:34.719] The assignment progress on [00:13:36.859] the learn stage account would [00:13:39.469] reflect the grades. [00:13:41.879] It would reflect what percentage of the [00:13:43.908] assignments they've completed in this grades area. [00:13:46.389] The module progress wheel that's [00:13:48.629] going to be indicating [00:13:50.308] um how many of these module [00:13:52.418] sections have the green check marks. [00:13:54.989] So two different ways to view progress [00:13:57.750] on reflecting something similar [00:14:02.269] if you'd like to navigate to their course, [00:14:04.820] uh each any of their courses, [00:14:06.849] you know that standard way you can go to the [00:14:08.899] left, click the little book and [00:14:11.590] you can click to open any of the courses in this [00:14:13.690] way as well. [00:14:15.349] And you can click grades to be the grades [00:14:17.440] again and [00:14:19.808] then modules to view the modules. [00:14:22.700] So that's just a quick overview of their canvass [00:14:24.759] account. You shouldn't need to go in here very [00:14:26.859] often because learn stage will [00:14:28.960] reflect all of this activity like I'm I [00:14:31.000] mentioned before. [00:14:32.529] Uh So you'll have a really quick view. [00:14:34.840] And if you did want to go in to see when [00:14:36.928] something was completed, you could go [00:14:39.009] to the greats page, [00:14:40.519] open up a quiz and you would have a time stamp [00:14:42.918] there um and see [00:14:45.178] a few more details about [00:14:47.009] the submission and what the answer, [00:14:49.418] how they're doing and things like that. [00:14:52.678] So that concludes our overview of the new learn [00:14:54.798] stage and viewing canvas [00:14:57.229] courses. Thanks for watching.
