[00:00:26.239] This webinar is geared toward [00:00:28.250] current gale analytics users that [00:00:30.269] haven't yet had a chance to run a report [00:00:32.848] within community insights [00:00:34.868] or perhaps it's been a while since you've run [00:00:36.899] a report and you'd like a refresher course. [00:00:40.079] During today's training, we won't [00:00:42.139] be diving into all of the fun data [00:00:44.250] you can discover in ga analytics, but [00:00:46.478] we'll save that for a future webinar. [00:00:51.598] So for our agenda today, we'll start [00:00:53.750] with a Gale analytics overview. [00:00:55.950] What is Gale analytics and why is [00:00:57.959] it beneficial to your library? [00:01:00.060] Then I'll cover report requirements. [00:01:02.469] So what information you will need to [00:01:04.510] gather from your ils prior [00:01:06.549] to running a report, [00:01:08.558] then using some sample data will [00:01:10.588] go directly into the resource and walk [00:01:12.730] through each step together. [00:01:15.040] Then finally, I'll show you what support resources [00:01:17.620] are available on the Gale analytics support [00:01:19.730] site. And I'll also share my contact [00:01:21.980] information. [00:01:26.329] So let's start with an overview [00:01:28.510] of Gale analytics [00:01:32.838] Daily analytics. Community insights is [00:01:35.069] an internal library resource [00:01:37.558] that combines patron data with [00:01:39.638] external data from Experian and [00:01:41.790] the US census. [00:01:43.599] It allows you to view powerful [00:01:45.769] visualizations of your community [00:01:47.879] to better inform planning [00:01:49.918] programming collections [00:01:52.040] and marketing outreach efforts. [00:01:54.290] It identifies who your patrons [00:01:56.480] and your non patrons are, where they [00:01:58.638] live, what their interests [00:02:00.709] are and provides general demographics [00:02:03.338] for your area as well. [00:02:05.400] Some of the key features and community [00:02:07.609] insights are the interactive map [00:02:09.868] and custom mailing list allowing [00:02:12.250] you to target areas within your community. [00:02:14.990] Look for opportunities and create [00:02:17.139] direct mail or email lists for [00:02:19.229] targeted marketing [00:02:21.050] to summarize this resource allows [00:02:23.409] you to view your community through [00:02:25.439] a whole new lens. [00:02:30.830] So how is this information useful? [00:02:33.240] The data laid out in interactive [00:02:35.288] charts and graphs can certainly help support [00:02:37.679] your strategic plan as [00:02:39.740] well as your library's goals and initiatives, [00:02:42.889] knowing where opportunities lie in [00:02:45.058] terms of education level, [00:02:47.240] household income, English language, [00:02:49.580] learners, technology gaps and so [00:02:51.618] on can provide powerful metrics [00:02:53.919] to support a grant application [00:02:57.199] including this report. When gathering information [00:02:59.719] for stakeholders or annual reporting [00:03:02.050] and statistical data is certainly [00:03:04.199] something that could be um useful [00:03:06.308] as well. [00:03:08.058] You could utilize the features on the [00:03:10.110] interactive map to plan [00:03:12.389] a new library branch location or [00:03:14.520] perhaps a bookmobile route [00:03:17.288] and finally having this data at your fingertips [00:03:19.800] will allow you to better allocate your [00:03:22.000] library funds. [00:03:28.788] I won't read each one of these pieces of feedback. [00:03:31.379] But you can see that libraries often [00:03:33.409] turn to the data with gale analytics [00:03:35.649] to help support many of their initiatives [00:03:38.258] from reaching non patrons to [00:03:40.580] identifying underserved demographics, [00:03:43.379] to aiding and technology efforts [00:03:45.439] like providing hotspots in areas [00:03:47.460] with little internet access. [00:03:49.659] Really, the possibilities are endless. [00:03:51.909] So once you have run your report, [00:03:54.399] I encourage you to set aside some [00:03:56.449] time to dig into the data, [00:03:58.569] apply filters and [00:04:00.699] um play around with the possibilities. [00:04:08.110] So now that you know what community insights [00:04:10.179] can do for you, let's talk about running a report [00:04:12.649] and what initial data is required [00:04:18.927] in order to run a report, you will first [00:04:20.959] need to gather a patron file from [00:04:23.048] your ils. [00:04:24.418] Usually this is an Excel file [00:04:26.677] and at a minimum, each patron [00:04:28.838] will need to have a physical address. [00:04:31.548] This address could be in one [00:04:33.639] column. So house number, street [00:04:35.918] name, city state zip all [00:04:38.139] in one column [00:04:39.319] or they could be in separate columns [00:04:42.247] depending on your I OS. This report [00:04:44.259] could look different [00:04:46.250] if you have patrons without an address [00:04:49.040] or with a po box, please [00:04:51.660] know that they will not be read by Gale [00:04:53.850] Analytics. So their data will not be included. [00:04:56.798] You don't need to remove them from your file, [00:04:59.319] but just keep this in mind. [00:05:01.939] In addition to an address, three [00:05:04.139] additional pieces of data are optional. [00:05:06.639] However, we do encourage you to include [00:05:08.949] this data if possible because it [00:05:10.959] will enrich your report. [00:05:13.028] This includes email address, [00:05:15.509] last checkout date or circ active [00:05:18.639] and total number of checkouts. [00:05:21.738] I've provided a screenshot of the sample [00:05:23.988] file I'll be using today. Um [00:05:26.379] These addresses are in separate [00:05:28.470] columns and it does include the [00:05:30.629] circ active total number of checkouts [00:05:33.449] and email addresses as well. [00:05:40.949] The process is fairly straightforward. [00:05:43.290] So you upload your patron file in the [00:05:45.379] Gale Analytics platform [00:05:47.420] and you've selected geography, [00:05:49.559] we'll talk more about the geography a little bit [00:05:51.600] later. The patron [00:05:53.649] addresses in your file are matched [00:05:56.199] to U SPS data, which [00:05:58.519] is why we need that patron [00:06:00.649] address in the first place. [00:06:02.809] Then the US PPS [00:06:04.819] data is matched to household data. [00:06:07.040] So let's say you have four patrons [00:06:09.160] living at the same address that [00:06:11.309] will then become one household in [00:06:13.399] your report. [00:06:15.309] Then the households are matched [00:06:17.528] to Experian demographic data. [00:06:20.048] And this is that external data I mentioned [00:06:22.259] earlier. [00:06:23.548] Experian data is extremely powerful. [00:06:26.088] So now we're not just talking about income [00:06:28.428] and education level, but we're [00:06:30.500] able to access about 600 [00:06:32.838] different data points through Experian. [00:06:35.259] What are their hobbies and interests? [00:06:37.500] What do they do for work? Where do they like [00:06:39.639] to shop? What kind of car do they [00:06:41.689] drive and so much more in [00:06:43.750] terms of lifestyle. [00:06:46.250] Then this report is generated in the cloud [00:06:48.920] and purged in 30 days [00:06:51.389] out pops your reports. One [00:06:53.689] of them is the executive summary [00:06:55.829] report, which is not interactive [00:06:57.988] but still very useful for reporting [00:07:00.449] and so on. [00:07:01.649] In addition to your Tableau reader dashboard, [00:07:04.290] which you will need Tableau reader for. [00:07:06.778] If you're unfamiliar with Tableau, there's [00:07:09.040] a couple of different versions. Tableau Reader [00:07:11.149] is the free version. Um and [00:07:13.220] it's just an easy download, but you will [00:07:15.259] need Tableau Reader in order to open this file [00:07:18.379] with this particular report, [00:07:20.500] you can apply filters, interact [00:07:22.769] with the map and customized [00:07:24.798] mailing lists. [00:07:31.178] Once you've run your report at [00:07:33.319] a basic level, you'll have access to [00:07:35.329] your executive summary report. [00:07:37.548] And this is the report compiled of mainly [00:07:39.869] us census data. [00:07:41.879] It includes past data, current [00:07:44.889] and a 2028 projection as [00:07:47.009] well at a minimum. Please [00:07:49.428] take advantage of the executive summary [00:07:51.569] report. [00:07:55.040] Here's a screenshot of the first page. [00:07:57.269] It includes charts and graphs on household [00:07:59.579] income languages, spoken at home, [00:08:02.149] race and ethnicities and so on. [00:08:07.278] If you want to dive a little deeper into the [00:08:09.379] available reports, you can download Tableau [00:08:11.629] reader, the free version of Tableau [00:08:14.139] and you will need it to open the TWBX [00:08:16.649] file that community insights creates. [00:08:19.369] This is the report that allows you to filter [00:08:21.509] for what you're looking for. [00:08:26.939] Here's a peek into what the Tableau reader [00:08:29.170] dashboard looks like. This is the interactive [00:08:31.259] patrons and non patrons map. [00:08:36.548] Finally, in addition to the executive [00:08:39.097] summary report and the Tableau dashboard [00:08:41.379] report you also have free access [00:08:43.918] to experience segmentation portal [00:08:46.369] with your subscription to Gale Analytics. [00:08:48.717] And this portal really dives into the [00:08:50.798] experience mosaic segments which [00:08:53.168] are how we gather those lifestyle [00:08:55.178] insights for both patrons and non patrons. The [00:09:04.678] turnaround time is usually around 24 [00:09:06.788] to 48 hours [00:09:10.908] and here's a peek into the experience segmentation [00:09:13.320] portal. And each group has [00:09:22.070] a different lifestyle profile you can dig [00:09:24.099] into to learn more about the households in [00:09:26.298] your service area. [00:09:33.080] All right. So now we're gonna head to the Gale [00:09:35.259] Analytics interface, [00:09:38.190] which is analytics.gail.com/gallery [00:09:43.038] and you're gonna go ahead and sign in with [00:09:45.379] your email address and your password. [00:09:47.979] If you forget your password, you can click [00:09:50.239] on the password recovery link [00:09:55.779] and this is what we would call the home [00:09:58.210] page of daily analytics. So, on [00:10:00.359] this page, there's lots of different apps available. [00:10:02.960] You might not need to use any of them. [00:10:04.960] Um But you might wanna use um a couple [00:10:07.250] of them here and there uh test [00:10:09.298] my patron data will allow you to run [00:10:11.538] your patron file through this app [00:10:14.070] and it will let you know what was able to be read [00:10:16.269] and what was unable to be read. So that's [00:10:18.279] not running a report. But it's just testing [00:10:20.308] your data to see what it is doing. [00:10:22.788] Um We also have [00:10:24.879] uh if you have Cersei as your [00:10:27.029] uh ils, the Pars Cersei [00:10:29.250] XML report will actually [00:10:31.889] uh reformat your um [00:10:34.570] I OS report to work [00:10:37.090] within Gale Analytics community insights. [00:10:39.288] So that's a [00:10:40.330] handy one. If you have Cersei, [00:10:42.489] there's a couple of other apps here that you might find [00:10:44.570] useful as well. Um But we're gonna [00:10:46.690] go ahead and head over to the collections [00:10:48.849] tab on the left hand side. [00:10:53.070] Now, I have access to all of our collections, [00:10:55.139] but you should see at a minimum community, community [00:10:57.629] insights. So we're gonna go ahead and click on community [00:11:00.048] insights [00:11:01.529] and click it again. [00:11:04.729] Now, this page covers a lot of what I [00:11:06.969] already mentioned, how [00:11:08.979] the um dashboard [00:11:11.080] works, how the patron data [00:11:13.149] is combined with external data. And [00:11:15.418] if you scroll down, you can see your past runs [00:11:17.759] from the past 30 days. These will be purged [00:11:20.178] after 30 days. And if there's [00:11:22.440] a green check mark, that means that the [00:11:24.479] report was successfully run. And [00:11:26.700] if you have a red lightning bolt for whatever reason, [00:11:28.918] it wasn't successful in its run. [00:11:31.320] If you do run a report and [00:11:33.369] you wanna keep it, please save it on your own [00:11:35.590] drive because like I said, it will be deleted [00:11:37.769] after 30 days, [00:11:40.149] we're going to go ahead and click on run [00:11:45.700] and then this is where you're going to actually [00:11:47.830] run your report. So I'm going [00:11:50.048] to walk through the steps starting with [00:11:52.808] giving your job and name. [00:11:57.019] If we scroll down, [00:11:59.389] um it should automatically default here [00:12:01.570] to user interface and that's going [00:12:03.769] to allow you to input your library [00:12:06.178] information. [00:12:07.349] Use parameters file is another option [00:12:09.840] here. Um But if it's your first time [00:12:11.979] running a report or your first time running a report [00:12:14.288] in a while, you'll want to do the user interface [00:12:16.469] option, which it automatically defaults to [00:12:18.969] the parameters file is kind of a uh shortcut [00:12:21.798] and you do need to run it once [00:12:23.928] in order to create that parameters file [00:12:26.210] for the future, [00:12:28.259] you're gonna go ahead and enter your library name. [00:12:31.479] So I'm actually using a fictitious [00:12:33.668] library near our headquarters in [00:12:35.788] Farmington Hills, Michigan. [00:12:37.788] Um It wasn't stored in Gale [00:12:40.000] analytics. We don't store that information. [00:12:42.428] Um but it was saved in my cookies. So [00:12:44.469] that's why this popped up so quickly. [00:12:46.779] Uh The library itself is [00:12:48.908] not a real library, but the sample data [00:12:51.129] that I'm using today is uh is [00:12:53.168] real data. So [00:12:55.168] then we're gonna scroll down [00:12:57.798] to the patron file and this is where you're actually [00:13:00.200] going to add your patron file. [00:13:03.590] OK? [00:13:05.109] So you'll select that file. Like I said, it's [00:13:07.259] usually an Excel file [00:13:10.570] and then you'll select which sheet you want [00:13:12.769] to be read within that file. I only have [00:13:15.019] one sheet in mine [00:13:17.279] and then click. OK? [00:13:19.048] And now you're going to map the fields. So [00:13:21.119] this part is essentially matching, [00:13:23.469] but you want to know what your column [00:13:25.719] headers are named. [00:13:27.599] So I know that the street address [00:13:30.200] for my patrons is going to be in the [00:13:32.279] column called address number one [00:13:36.139] suite Gale analytics actually [00:13:38.450] doesn't read the suite. So you don't need [00:13:40.519] to enter in an apartment number, condo [00:13:42.668] number, anything like that, you can leave that blank [00:13:45.369] city, city state [00:13:47.729] state zip, zip, like [00:13:49.849] I said, this is mainly matching. [00:13:53.469] Um If you do have your address [00:13:55.899] in all one column, what you'll want [00:13:58.109] to do is just select that [00:14:00.479] column header where the street address [00:14:02.889] option is and leave the rest of these blank. [00:14:06.678] Ok. [00:14:08.099] Uh Last active date in my file [00:14:10.440] is circ active. So I'm gonna [00:14:12.529] go ahead and select circ active [00:14:15.710] and then allow blank dates [00:14:17.750] uh checks by default. [00:14:19.879] And it's really your choice whether you'd like [00:14:22.029] to include that or not. [00:14:24.359] Um Basically, if you have a patron [00:14:26.489] who has uh not who doesn't [00:14:28.668] have a circ active date, [00:14:30.418] um And you want to include them in your patron [00:14:32.668] file that checks by default. If you don't [00:14:34.859] want to include these patrons, you can deselect, [00:14:37.940] but typically we will include those [00:14:39.950] patrons. So um it'll check [00:14:42.058] by default [00:14:43.210] then if we scroll down. Now, [00:14:45.239] I'm going to map the checkout field, [00:14:47.440] which in my file is total checkout [00:14:51.099] and then email address as well, which [00:14:53.139] is in the email column. [00:14:56.000] Ok. [00:14:57.229] So that's how we map the fields [00:14:59.269] to your uh patron file. [00:15:03.288] Then the next step is to select [00:15:05.408] a geography. [00:15:06.700] There's two different ways you can select [00:15:08.808] a geography you can do. So [00:15:10.889] using the tree here. Um And you [00:15:12.918] can select up to 20 geographies [00:15:15.190] in the tree or you can upload [00:15:17.408] a custom geography file. [00:15:19.779] So if your library service [00:15:21.859] area is more of a custom shape, [00:15:24.399] you can contact your County GIS [00:15:26.700] Department and they might be able [00:15:28.840] to provide a file. [00:15:30.668] Um, you're gonna want to ask for a KML [00:15:33.340] file, which is a map file [00:15:35.529] that they likely have um, at the County [00:15:37.658] GIS Department. Otherwise, what [00:15:39.678] I would suggest doing is coming into, [00:15:42.379] um, one of these places you can go to counties [00:15:45.200] zip codes school districts. [00:15:47.440] Um I'm gonna go into places [00:15:50.928] and instead of checking the entire [00:15:53.058] box, we wanna dig into each one [00:15:55.149] of these points as far as we can possibly [00:15:57.399] go. So this particular [00:15:59.500] library is in Michigan. I'm [00:16:01.599] gonna go ahead and click the plus [00:16:03.678] sign next to Michigan [00:16:05.298] and it will allow me to select the cities [00:16:07.509] that I'm looking for for my service area. [00:16:13.320] So we wanna get as specific as we can. [00:16:15.690] And like I said, you can choose up to [00:16:18.259] 20 geographies um [00:16:20.320] at one time. [00:16:21.849] So I'm selecting Farmington and Farmington [00:16:24.389] Hills. If you have [00:16:26.418] a combination of zip codes [00:16:28.590] or counties or cities, you can [00:16:30.700] also combine. [00:16:32.840] And then once I have my geography selected, [00:16:35.658] I'm gonna go ahead and scroll down [00:16:38.408] to my branch. [00:16:40.500] Um And so if you have multiple [00:16:42.950] branches, you can create [00:16:45.288] a KML file um that [00:16:47.489] has these branches that [00:16:49.719] are distinguished on the [00:16:51.729] map. And you can actually do that in Gale [00:16:53.840] Analytics. It's one of the options on [00:16:55.989] the home page, one of those apps and [00:16:58.288] we have instructions on how to do this on [00:17:00.428] the Gale Analytics support site as well. [00:17:02.649] But if it's your first time uploading or [00:17:04.709] running a report, I would go ahead and just skip [00:17:07.009] this option for now. You don't need to [00:17:09.059] have your branches, but it certainly is nice to [00:17:11.170] be able to um limit [00:17:13.229] that data down to uh a branch [00:17:15.299] specific level. I am going [00:17:17.439] to go ahead and add my branches, [00:17:20.660] which we have a north branch and a south [00:17:23.039] branch for this particular library. [00:17:25.969] It's a KML file [00:17:28.358] and then I'm gonna give my report that name [00:17:30.618] again. So name it, test [00:17:32.979] it automatically defaults to [00:17:35.059] output um a TWBX [00:17:37.920] file and that's what we want to leave it on [00:17:40.140] that is going to give us that Tableau reader [00:17:42.509] dashboard that we are going to [00:17:44.750] download [00:17:46.799] and then I'm gonna scroll down and click run [00:17:49.489] and that will run my report. [00:17:51.789] Um for the sake of time, I'm not [00:17:53.900] going to run that live right now. [00:17:56.549] Um It usually takes a couple of minutes [00:17:58.750] for my file and I have about [00:18:00.779] 3000 patrons [00:18:02.979] listed in my file. Um It [00:18:05.088] really shouldn't take any more than [00:18:07.358] uh five or 10 minutes even with [00:18:09.449] very large library systems. [00:18:12.250] Um If I want to look at a [00:18:14.519] uh workflow result. So a past [00:18:16.828] report that I've run, [00:18:18.479] I ran a report yesterday. Um [00:18:20.699] So that will appear here [00:18:22.709] and like I said, that's available for [00:18:24.920] up to 30 days and then [00:18:26.930] it is deleted. So I'm gonna go ahead and click [00:18:29.059] on this community insights [00:18:31.358] report that I ran [00:18:33.900] and I'm gonna show you the different types of [00:18:35.930] reports that you can save to your own drive. [00:18:38.578] So the first one you might wanna look at [00:18:41.000] uh after you run a report is [00:18:43.309] the summary report [00:18:46.279] and you can look at that directly in the interface [00:18:48.630] like I have it here or you can actually [00:18:50.828] select the file format you'd like [00:18:52.910] if you wanna save it as a PDF or a doc [00:18:55.019] X and then download it. [00:18:57.019] Um But basically what we're looking at here [00:18:59.269] is a breakdown of the data uploaded. [00:19:01.588] So I can see that I had 3001 [00:19:05.328] total records in my file. [00:19:08.299] Um One of those was [00:19:10.410] unable to be read and that's because [00:19:12.489] the address field was empty. So it gives [00:19:14.729] me a reason for that data. [00:19:17.009] Lets me know how many were unable to [00:19:19.039] be read. Now, that's pretty good [00:19:21.368] if I have uh 3001 [00:19:23.750] records and only one is unable to be read. [00:19:26.019] But typically we say if you [00:19:28.269] have less than 10% [00:19:30.358] of your records able to be read. That's, [00:19:32.559] that's good. I would continue on. [00:19:34.640] Um, and I don't think there's a reason to [00:19:36.739] take another look at your data since [00:19:39.039] it's, um, over 90% accurate. [00:19:41.449] Um, so I would just proceed with, uh, those [00:19:43.838] you'll probably have some empty addresses [00:19:46.009] or addresses that couldn't be read [00:19:48.078] or couldn't be found. Um, [00:19:50.140] but typically if it's less than 10% [00:19:52.334] that's ok, then you can scroll down [00:19:54.434] and look at your service area. So that's my overall [00:19:56.934] service area. And then here are my branch area. [00:19:59.394] So you might just wanna check and make sure [00:20:01.594] that everything looks good here. Um [00:20:03.894] If you have an alarming number of bad records, [00:20:06.354] I would take another look at your file and see [00:20:08.434] if there's something going on or maybe, [00:20:10.564] um, your fields weren't mapped correctly [00:20:12.644] or something like that. [00:20:14.689] So that's the summary report. You [00:20:16.979] can also download the file errors [00:20:19.250] report. Um, and that's gonna give [00:20:21.469] you, uh exactly which [00:20:23.920] patron addresses were unable [00:20:26.039] to be read. So you would just select [00:20:28.078] UTF eight download. [00:20:30.959] It's going to give you a CS V file [00:20:33.539] and then you can see which addresses [00:20:35.858] were unable to be read and why. So that's [00:20:38.078] really helpful if you have a lot of errors, [00:20:41.039] the parameters file, uh you just [00:20:43.209] wanna match to a YX [00:20:45.219] DB file because that's that file [00:20:47.578] format and download. This is that shortcut. [00:20:50.029] I was talking about earlier. So basically, [00:20:52.098] it kept all of the settings that [00:20:54.328] I um used when I [00:20:56.348] ran it the first time. And then [00:20:58.469] if I want to run it again, let's say [00:21:00.650] once a month or once a quarter, I can just [00:21:02.670] use this file that saved all of my [00:21:04.750] settings. And it's super easy to go [00:21:06.779] in and run it in less than a minute um with [00:21:09.078] this file. So that's kind of a shortcut. [00:21:11.949] And then here's where we have the executive [00:21:14.118] summary. So this is what I was referring to earlier. [00:21:16.489] This data comes mainly from the US census. [00:21:19.420] Um And we have different charts and graphs [00:21:21.630] here on uh population [00:21:24.170] age, race and ethnicity [00:21:26.400] and so on. We do have a couple of [00:21:28.439] past census here and then [00:21:30.568] also we have a 2028 projection [00:21:33.670] as well. Um So this is really [00:21:35.930] helpful, it's not interactive. [00:21:38.338] Um But it is a great report to use [00:21:40.969] uh to support really any of your [00:21:43.140] um reporting statistics, [00:21:45.299] anything like that. You can look at it in the [00:21:47.348] interface here or you can uh select [00:21:50.019] a PDF file format and [00:21:52.108] download it there. [00:21:54.068] What's great about the executive summary report [00:21:56.500] is that if you do um [00:21:58.660] choose to upload a branch [00:22:00.880] shaped file, you also get [00:22:02.939] an executive summary report for each one [00:22:05.078] of your branches. So it will actually break [00:22:07.380] that data down on a branch specific level.
