But just as a warning, this is going to be a public [00:00:23.850] library focused K 12 individuals. So [00:00:35.618] again, feel free if you're a K 12 [00:00:38.209] individual to stay on the line, but this will be [00:00:40.228] pretty public library focused. [00:00:43.130] My name is Amber Winters and I will be your [00:00:45.167] Gale training consultant for the day. [00:00:47.740] Let's go ahead and get started. So our [00:00:49.899] our agenda today first, I just want to talk about [00:00:52.029] some training, best practices. So [00:00:54.069] kind of what us trainers at gale do here [00:00:56.228] to make sure that we can provide successful [00:00:58.270] training. We're going to go over those, [00:01:00.347] then we're going to go over all of the premade materials [00:01:03.028] that we have created for you guys. What's [00:01:05.319] great is we don't want you to reinvent the wheel. So [00:01:07.349] we've made [00:01:09.278] activities, professional development [00:01:11.409] tools, prebuilt presentations, [00:01:13.680] all that good stuff we've made that for you already [00:01:16.109] and we have it on our support site. So we're going to take [00:01:18.359] a look at that today to hopefully kind [00:01:20.438] of propel you forward as you start to train your staff. [00:01:23.807] And we should have time at the very end of the session [00:01:26.049] for any questions you have, feel free [00:01:28.120] to put your questions into the Q and A as we [00:01:30.180] move forward. And I should be able to answer them, [00:01:32.418] unless they start to get a little [00:01:34.598] bit too burdensome and then we will wait to the end of the session. [00:01:37.299] And I do have some quick contact information [00:01:39.359] for you at the end of the session today as well. [00:01:42.848] So let's go ahead and get started here. So the [00:01:44.900] first thing I always want to mention is [00:01:46.959] you should always run a needs assessment as [00:01:49.098] you're planning on training for your staff. So I always [00:01:51.408] like to consider who, what, when, where and [00:01:53.418] why because you want to make sure you're hitting [00:01:55.908] what staff actually needs because of course, [00:01:58.609] everyone knows that your time is usually pretty [00:02:00.849] limited. So first you want to think about who, [00:02:02.909] how many people are you planning on having? your [00:02:05.250] sessions are going to vary based on how many people [00:02:07.307] you may not have, be able to have as collaborative [00:02:09.508] a session. If you have 100 people attending [00:02:11.750] versus smaller group of 10 [00:02:14.128] also consider their roles and their comfort [00:02:16.429] level. You want to make sure you're not going too advanced [00:02:18.848] for yourself, but also not too basic. [00:02:21.110] You want to make this as impactful as possible, [00:02:23.710] so be sure to hit them at whatever they're at level [00:02:26.027] they're at if they are intermediate [00:02:28.050] or advanced, maybe skip over a [00:02:30.110] a brief summary session [00:02:32.258] and go into something a little bit more specific that can kind [00:02:34.449] of propel their ideas forward. [00:02:37.277] And next you want to consider what, so what resource [00:02:39.658] are you going to be talking about? [00:02:41.819] And of course, that's going to vary substantially [00:02:43.860] in the public library setting. If you're [00:02:45.908] talking about a business resource or [00:02:47.978] a career development resource or maybe resources [00:02:50.418] for students coming in looking for homework help. [00:02:52.860] So consider what resource you're actually going [00:02:55.027] to be working with. [00:02:56.337] If you're going to look at specific tools, make [00:02:58.399] sure you have those pulled out and ready to [00:03:00.449] go. Are you going to be looking [00:03:02.729] at specific content or maybe different workflows, [00:03:05.080] how your users are going to actually be able to [00:03:07.550] access the contents? And [00:03:09.728] are you going to maybe include activities or something like [00:03:11.807] that? So make sure, you know, kind of [00:03:13.830] a, a brief outline of what you want to cover [00:03:16.057] as you're moving forward. [00:03:17.710] The one when would be the best time of day [00:03:19.807] for you. Of course, love to think about your staff for [00:03:21.938] that. I do have professional development [00:03:24.399] sessions that maybe you can work through. a [00:03:26.419] big one we're talking about when is session [00:03:28.837] link. So I'm going to go back [00:03:30.949] to talking about business resources. Again. I know I just [00:03:33.038] mentioned them but as an example, [00:03:35.250] gill business demographics now is an amazing [00:03:37.468] resource, but it's also a huge resource. [00:03:39.929] So oftentimes having a session of [00:03:42.027] 30 minutes is not going to do it justice and [00:03:44.087] won't be able to kind of get you through everything you want [00:03:46.329] to get through. So make sure you know [00:03:48.378] what resource you're tackling and you really [00:03:50.527] tailor your session like for that resource [00:03:52.960] may be better to use 45 minutes or an hour [00:03:55.210] for that resource. But if you're working on maybe [00:03:57.538] one of our Gale one file resources, [00:03:59.639] that's a little bit more of a basic database [00:04:01.837] search, a standard search that you're expecting [00:04:04.218] that may be better suited for a shorter [00:04:06.460] 30 minute session or maybe even a, a brief [00:04:08.699] tutorial kind of under 10 minutes. So [00:04:10.867] always consider when [00:04:13.218] where there's usually, you know, two different options, [00:04:15.520] virtual or in person and then whatever [00:04:17.660] branch you want to go to. So if I have individuals [00:04:20.048] from kind of larger library systems, [00:04:22.119] you always want to consider which branch is the easiest [00:04:24.439] to get to for everyone. If [00:04:26.459] the answer is none then you may want to consider [00:04:28.540] a virtual training. Of course, everyone will be able [00:04:30.660] to attend virtually. [00:04:32.709] And then finally, the why is really [00:04:34.869] what kind of brings everything together [00:04:36.889] as you're planning your training? You always [00:04:38.959] want to ground yourself in the why? [00:04:41.009] So first off, what's the goal of this resource [00:04:43.100] that you're training the staff on? Did you buy [00:04:45.189] it for a particular demographic? [00:04:47.670] Did you buy it for a particular program that [00:04:49.689] you're running? Why do you have that resource [00:04:52.409] for your patrons? [00:04:54.199] Second, [00:04:55.159] what is this training going to do for your attendees? [00:04:57.798] So for your staff, what is this supposed to prepare [00:05:00.170] them for? Is it preparing them for [00:05:02.459] working with your patrons? Is it preparing [00:05:04.500] them just for having the knowledge [00:05:06.677] in the back of their minds? What exactly [00:05:08.829] are they going to need to get out of this? And [00:05:10.959] then by extension, how is this training [00:05:13.230] going to benefit patrons? So [00:05:15.259] of course, you're not training patrons directly, [00:05:17.949] but how are you going to be [00:05:20.009] able to kind of pull forward what you [00:05:22.079] just trained your staff on to benefit [00:05:24.338] your trainings directly? [00:05:25.970] And we have a quick question here that I'm going to pop this up. [00:05:30.809] Do you have a question? Will the training today also be helpful [00:05:32.850] for librarians directly helping patrons use [00:05:34.949] gall resources or just people [00:05:37.139] who are planning trainings? [00:05:39.149] So right now, this session is really kind [00:05:41.290] of a train, the trainer. So we're focused on, [00:05:43.769] you training your library staff [00:05:45.790] as opposed to training patrons. Of [00:05:47.920] course, a lot of these practices are going to be beneficial [00:05:50.470] for your patrons if you're planning on, training [00:05:53.058] them directly as well. But right now this is really focused [00:05:55.250] on training the trainer or training your staff [00:05:57.528] to work with your patrons. [00:06:03.040] So let's go ahead and move forward now. So we'll keep [00:06:05.177] ourselves grounded in the who, what, when, where and why [00:06:07.600] specifically, we'll keep ourselves grounded [00:06:09.619] in the why, why we're deciding to [00:06:11.798] go forward with this session. [00:06:14.369] So we're talking about the who best case [00:06:16.588] attendance. I want you to consider of course, [00:06:18.819] your subject focus staff. So your business [00:06:20.927] librarians attending your business [00:06:23.319] training, your youth [00:06:25.439] librarians attending any sort of maybe gale [00:06:27.500] in context, elementary training, your [00:06:29.670] patron fa facing support staff, of [00:06:31.699] course, but I also want to mention library [00:06:34.009] partners. So if you're working with maybe [00:06:36.129] different special interest groups, maybe [00:06:38.350] a small business support group or something [00:06:40.459] like that, you may want to consider inviting [00:06:42.737] them to these trainings because [00:06:44.838] they're going to be [00:06:46.869] kind of trainers as well. They're going to be working with [00:06:49.040] their, the individuals and their groups and their special [00:06:51.338] special interest groups. So you can really think [00:06:53.480] of them as trainers. So you want to have them [00:06:55.569] fully understand the resources [00:06:57.579] so they can direct their users [00:06:59.588] to that correct place So definitely consider any [00:07:01.699] library partners that you're already working with, [00:07:04.177] consider inviting them to these training so they [00:07:06.237] can get a better understanding and be prepared [00:07:08.369] to work with your patrons outside [00:07:10.629] of the library. [00:07:13.980] So now we're talking about the what here? So the [00:07:16.100] what is going to be, how you're walking [00:07:18.528] through your training session? So it's going to be everything [00:07:20.959] you're covering and how you're going to cover it. [00:07:23.369] I put a quick note here, of course, [00:07:25.379] some of your resources have pretty unique platforms [00:07:27.959] again, kind of going back to business resources. [00:07:30.500] If you have gale business demographics now [00:07:32.659] or gale business plan builder, they are quite [00:07:34.850] unique compared to some standard [00:07:37.389] standard searching [00:07:39.528] basic databases. So this may not [00:07:41.677] work perfectly for you, but just a general [00:07:43.939] flow that could be helpful as you're training your staff. [00:07:46.569] It's going to start off in presentation sites [00:07:48.579] just like today with just a nice [00:07:51.000] surface level overview. So going over what's [00:07:53.159] included, maybe a brief [00:07:55.149] mention of the contents and [00:07:57.290] here it is where you want to first mention [00:07:59.605] your why. So again, not only are you grinding [00:08:01.684] yourself in the why when you're developing this training, [00:08:04.334] but start off with the y for your attendees [00:08:06.744] as well. So you're grinding them as [00:08:08.834] well. So as they're learning, they understand why they're [00:08:10.994] learning and they're paying attention to little [00:08:13.014] bits of information that could help them with whatever [00:08:15.225] they're going to take this information over to [00:08:18.869] from there, I suggest jump jumping [00:08:20.970] right into the resource. So starting off at the resource [00:08:23.379] home page for a nice platform [00:08:25.528] orientation. So just walk through the home page. [00:08:28.048] If there are different tools they have on that page, [00:08:30.809] show those off. You know, if we're talking [00:08:32.830] about maybe one of [00:08:34.899] the one file resources you may want to show get [00:08:37.129] link or you may want to show how to get [00:08:39.158] into a publication search, something like that. [00:08:41.629] just walk from that [00:08:43.250] to orient your users to the platform. [00:08:45.379] You may also want to point out any specific [00:08:47.619] search functionalities that are on the home page, [00:08:50.158] or browse functionalities as well. [00:08:53.048] Once you've made your way through that, I suggest [00:08:55.320] then talking about searching structure. [00:08:57.369] So this will most likely still be on the home page [00:08:59.427] of it and potentially in the advanced [00:09:01.677] search as well. So go through how basic searching [00:09:03.788] is going to work for your patrons take [00:09:06.298] a look at the advanced search options. Again, [00:09:08.307] your resources are most likely going to be pretty [00:09:10.644] varied if we're talking about that public library [00:09:12.864] situation. So take a look [00:09:15.065] and make sure you understand the different options for [00:09:17.144] your advanced searches because they can vary quite [00:09:19.315] a bit between the resources but find [00:09:21.673] those workflows and those benefits for patrons [00:09:23.955] and bring those to your trainers. [00:09:26.658] I also like to mention topic, [00:09:28.750] my internet and all of our resources. But that's a great [00:09:31.080] supplemental search support information [00:09:33.330] that you're going to find in our one file [00:09:35.408] resources or in our in context [00:09:37.500] resources, some of our literature resources. [00:09:40.210] So that's a great kind of supplemental [00:09:42.889] tool. I suggest taking a look at as well. [00:09:46.418] Then moving forward from there, you may want to take [00:09:48.427] a look at how your patrons are going to be able [00:09:50.719] to manipulate search results. So [00:09:52.879] go over our different options for filtering [00:09:55.278] how everything is organized. A lot of times you'll [00:09:57.340] see in our resource, we have different [00:09:59.519] content buckets. So our news [00:10:01.557] reports are going to be pulled separately from our primary [00:10:04.080] sources which are pulled separately from our images. [00:10:06.619] So make sure they understand how that functions. [00:10:08.879] So they can let patrons know how they can find [00:10:10.960] exactly what they're looking for. [00:10:13.239] And we also tag and create [00:10:15.259] labels for a, a huge amount of [00:10:17.369] our information. So point those [00:10:19.519] tags out where they can find those tags, how [00:10:21.557] they can limit to those tags to make it really simple [00:10:24.219] to pull precise content to pull [00:10:26.379] exactly what they need [00:10:28.950] moving from there. This is kind of [00:10:31.710] I like to think of the chunk [00:10:33.927] of your session is going to be taking a look [00:10:36.038] at all of these supporting tools that we have available [00:10:38.619] and a lot of them are going to be at the article [00:10:40.889] level. So you may want to click into a piece [00:10:42.940] of content after you run a search. [00:10:45.028] and you may want to take a look at highlights and notes [00:10:47.869] and inflation tools. We have available [00:10:49.984] our sharing tools like our Google and Microsoft integrations [00:10:53.094] citations if they have students coming [00:10:55.234] in for homework help. Our citation tool is going [00:10:57.283] to be really helpful and [00:10:59.335] our accessibility tools. So changing [00:11:01.413] the font and the colors of our articles, [00:11:04.663] having the articles read to them and things like [00:11:06.695] that. So this will most likely again extend [00:11:09.173] through the full resource. You're going to find different [00:11:11.274] tools in different sections. But I definitely [00:11:13.455] suggest clicking into an article and [00:11:15.494] letting them see how that works. [00:11:18.729] And if you are running a longer session, [00:11:21.109] you might want to consider an activity. So some things [00:11:23.298] that we've found success with here at Gale are [00:11:25.427] things like scavenger hunts, escape rooms [00:11:27.619] are pretty huge. We've had a lot [00:11:29.798] of success with those, but group collaborations [00:11:32.460] are great, especially if you're doing something virtually, [00:11:34.950] you could have breakout rooms and things like that [00:11:37.250] just to get everyone's mind kind of flowing [00:11:39.528] instead of just sitting and listening, getting them actually [00:11:41.849] involved in the content that they're going [00:11:44.057] to be working with. [00:11:47.710] Now, let's talk just briefly about when. [00:11:50.908] So first, if you have P D time, [00:11:52.940] that's already set aside, maybe [00:11:55.210] at the end of the day, maybe you have staff [00:11:57.469] kind of taking turns with some different professional [00:11:59.788] development consider including [00:12:02.489] your training in those sessions. It might be helpful [00:12:04.788] to run through multiple sessions [00:12:06.969] if you're targeting different groups or maybe [00:12:09.168] if you stag your stagger your professional development [00:12:11.807] kind of consider if you can squeeze it into [00:12:13.918] that session, [00:12:15.677] think about the day of the week as well. [00:12:18.009] You see the most attendance and the most [00:12:20.599] um collaboration and activity [00:12:23.080] and sessions on Tuesdays and Thursdays. [00:12:25.940] So if you can set a training for one of those two [00:12:28.028] days, you may want to consider it, [00:12:30.057] I would also consider time of the [00:12:32.070] day. Generally after lunch is a little bit [00:12:34.668] a little bit harder to keep attention [00:12:37.057] from individuals. Of course, they're just getting back from lunch. [00:12:39.259] So generally their attention isn't fully pulled [00:12:41.418] forward. So consider Tuesdays and Thursdays [00:12:43.918] and maybe before lunch or towards the end [00:12:45.927] of the day, finally, make [00:12:48.200] sure you consider the time of the year for your [00:12:50.269] staff. A lot of times these [00:12:52.288] introductions can be pretty overwhelming, especially [00:12:54.427] if you're going through a larger resource. maybe [00:12:56.719] Peterson's test and career prep [00:12:58.778] or something like that. [00:12:59.960] So make sure you choose a time that's not [00:13:02.139] super busy. So you might want to avoid [00:13:04.320] if your youth staff is working on summer [00:13:06.479] reading pretty heavily, you may want to avoid [00:13:08.519] that, working that time to review [00:13:10.759] your resources. if it's back [00:13:12.840] to school season and you have a lot of individuals [00:13:14.918] coming and for homework help. Again, that's a busy [00:13:17.065] time that you might just want to avoid. So, [00:13:19.075] always consider what time [00:13:21.195] of the year it is, what's going to work best for your [00:13:23.205] staff. How are they going to best absorb [00:13:25.614] the knowledge? Because of course, we don't want [00:13:27.754] to overwhelm them more than they most likely already [00:13:29.793] are. [00:13:33.090] And finally, the where, so of [00:13:35.129] course, our two options are going to be in person [00:13:37.359] and virtual. And I want to note here [00:13:39.399] that pre pandemic in [00:13:41.450] person was pretty much the default. You always [00:13:43.570] wanted to go to an in person session. [00:13:45.849] You know, that's gold standard, that's what you want to do. [00:13:47.979] But we found that virtual [00:13:50.019] sessions can be just as impactful as in [00:13:52.090] person. So even as we're kind of moving [00:13:54.408] forward out of the pandemic don't [00:13:57.028] always default to in person just because [00:13:59.330] you can't always really evaluate [00:14:01.427] if in person is in fact going to be [00:14:03.489] better than a virtual option. So [00:14:05.590] with in person, of course, you have to find [00:14:07.619] your best mutual sites, you have to think about [00:14:09.690] drive time and parking. Are you going to have [00:14:11.849] a room large enough? You know, if I'm talking [00:14:13.869] to anyone from a large library system, are you going [00:14:15.927] to be able to fit everyone in whatever [00:14:18.369] room you choose? Are they going to be able to [00:14:20.469] access the content [00:14:22.149] while virtual? Of course, you can join [00:14:24.210] from anywhere you don't need to worry about space. So those [00:14:26.460] of you who do have that large library system, [00:14:29.109] or maybe just, you know, librarians [00:14:31.379] who kind of work different times, they can join [00:14:33.408] at any time from anywhere [00:14:35.629] in a virtual setting. They're also going to have access to [00:14:37.778] their personal tech and their personal supplies. [00:14:40.177] So if they have a nice setup at their desk [00:14:42.349] that they want to be able to use, it may be [00:14:44.460] beneficial for them to kind of be in their, their [00:14:46.479] native space. So they're really going to understand [00:14:48.788] how to utilize these resources, not going to be [00:14:50.859] worried about figuring out the tech [00:14:52.918] that you have available for them. [00:14:55.557] But of course, in person, generally, you're going to [00:14:57.609] have easier collaboration so they can turn [00:14:59.729] around and talk to the person behind them or [00:15:01.830] they can work in groups at tables that you've set [00:15:03.869] up and you do [00:15:05.969] have expanded activity options there [00:15:08.019] as well. So you can think of [00:15:10.798] against scavenger hunts or escape [00:15:13.219] rooms. A lot of times they're going to be easier in [00:15:15.320] person. You can also have your [00:15:17.479] team get up and move around the room [00:15:19.509] a little bit to kind of build that collaboration. [00:15:22.418] And we're talking about virtual that is limited [00:15:24.599] a little bit. So you kind of have to get more [00:15:26.619] creative. So utilizing breakout rooms [00:15:28.820] or discussion boards, or [00:15:31.057] maybe, you know, quizzing software, things [00:15:33.369] like that, you'll have to kind of utilize that and be a little [00:15:35.519] bit more creative to make sure you're [00:15:37.820] still having that collaboration that's really going to help [00:15:40.009] this content sink in. [00:15:43.090] Finally, in person. Of course, you have [00:15:45.307] the option for lunch and learn or other incentives, [00:15:47.969] you know, bring everyone together for breakfast. [00:15:50.408] You'll have that option in person [00:15:52.649] and of course, virtually, you're going to be need [00:15:54.690] to be a little bit more creative with incentives. [00:15:56.769] Of course, you're most likely not going [00:15:58.859] to be able to offer them a lunch without providing [00:16:00.879] them with gift cards or something like that. [00:16:03.489] But always consider each of these [00:16:05.590] different kind of [00:16:07.950] pieces of training as you're deciding how [00:16:10.190] you want to run it. And again, I suggest [00:16:12.229] don't always default in person. I agree [00:16:14.408] that a lot of times it is [00:16:16.168] really beneficial to be able to be face to [00:16:18.177] face with those individuals. But [00:16:20.288] forcing it can oftentimes lead to [00:16:22.759] a less productive training than if you were [00:16:24.859] to have run it virtually. So just be honest [00:16:26.899] with yourself and see which [00:16:29.229] would actually benefit your staff the most. [00:16:31.750] So if it is virtual, then go ahead and [00:16:33.830] dive right into that virtual, maybe a little [00:16:35.918] bit more work on your part to figure out that collaborative [00:16:38.349] piece. But if you can get the information [00:16:40.408] easier to your staff, I would [00:16:42.427] suggest doing it however you can. [00:16:47.399] So let's talk about what gale has for you we're [00:16:49.418] going to dive into our support site to actually look [00:16:51.528] at these resources. But I briefly want [00:16:53.599] to pull forward just a, a couple of the different [00:16:55.677] options. [00:17:27.989] So this is really kind of a, [00:17:30.038] a grab and go feature. You'll be able to [00:17:32.140] really walk through, use these notes [00:17:34.199] if you want to or make it your own, you know, maybe [00:17:36.259] copy and paste a couple of these slides, [00:17:38.269] but not all of them, maybe hide some of the slides. I don't know about you [00:18:07.969] all, but sometimes in professional development [00:18:10.087] sessions, we have [00:18:12.439] single cards already made that are a little bit [00:18:14.617] a [00:18:16.798] little bit less focused on the content. [00:18:19.357] You can have these bingo cards [00:18:21.367] already created to kind of pull [00:18:23.759] your audience's attention instead of [00:18:25.808] them making their own [00:18:27.989] hidden bingo cards, we'll call them. [00:18:30.558] We also have tip sheets premade [00:18:32.670] for all of your resources. So if [00:18:34.910] you're planning on maybe just holding a very, very quick [00:18:37.189] session, you don't have a lot of time, you [00:18:39.538] can supplement that with these tips sheets that they [00:18:41.607] can take forward with them. You'll see some [00:18:43.719] of them are a little bit more in depth than the others. [00:18:45.910] Here, you see this business insights. [00:18:48.462] One is pretty, pretty in depth while the scale [00:18:50.653] and context environmental studies is a little bit more [00:18:52.722] simple. So you'll find tip sheets [00:18:54.775] as well as longer resource guides for [00:18:56.785] really all of our resources.
